Inclusions, Exclusions and Key Considerations

We are here to provide a platform where bold ideas can evolve into world-class activations.

To help you determine if this program is for you, we have outlined the details that allow great events to take place in Machine Hall and Vault.



Applicants will be required to acknowledge and accept these operational conditions prior to approval of your application. This ensures all parties understand the nature of the venue and the requirements involved in delivering events as part of the M.PWR Series.

MACHINE HALL

  • Your Event is only confirmed, once a contract has been signed and operational costs have been paid.

    You will be given a list of available dates for you to choose when you want your event to take place.

    We aim to be as flexible as possible and can hold tentative dates for up to 2 weeks, while you finalise your contract details.

    If an enquiry is received for the same date by another party, you will have first preference to secure the date by signing your contract and paying associated fees within 48hrs.

  • On the day of your event, You have up to 9 hours total venue access, inclusive of bump in, live event, and bump out. It is up to you how to distribute those hours to best suit your event needs.

  • Where your event is Free, ticketed or guest-listed, is up to you.

    You get to keep 100% of all income made from ticket sales.

    It’s your responsibility to manage the ticketing platform, comms and any charges associated with ticket sales and refunds.

  • Sound and Lighting in Machine Hall is provided by an external third party. This means that costs associated with AV are outside of venue hire costs.

    We have created various packages to help you achieve the best rates.

  • - 1 x pre-contract venue walkthrough

    - 2 × 1hr operational site inspections


    Additional operational walkthroughs may incur a fee POA.

  • If rehearsals are required prior to your event day, we can organise this by giving you access to the space and assigning you a venue representative.

    This will be charged at $80 per hour with a 4hrs minimum call out.

  • If Machine Hall provides beverage stock and bar staff, then Machine Hall keeps 100% of bar sales.

    A $2,000 minimum bar spend is required. If minimum spend isn’t reached during your event, the outstanding balance will need to be settled by the event organiser via credit card at the end of the event.

    You will be notified by a Machine Hall representative of the bar sales status prior to charges being made.

  • If you wish to supply your own beverages through a sponsorship or BYO, the following conditions apply:

    Applicants must provide and pay for bar staff or Machine Hall can provide staff (quoted for approval).

    If supplying your own staff:

    - Proof of valid RSA certification is required for each staff member. 

    - Machine Hall retains 20% of bar proceeds.

    - Machine Hall’s Square POS system must be used for all transactions.

    - After the event, you can invoice Machine Hall for 80% of bar revenue, less terminal charges.

  • Event security is mandatory, at all events.

    We require 1 guard per 100 guests. This is charged at $70ph, and they are required to be onsite 30 minutes prior and post event.

  • Furniture, styling elements and display items are not included in the venue hire cost. We do not hold an inventory of chairs, tables or any other furniture onsite. We can connect you with our preferred third party supplier or you may source your own.

  • A post-event cleaning fee of $724 is required across all Machine Hall events.

  • When vehicle access is necessary for bump in or bump out, a traffic controller is mandatory. Charged at $70 per hour. (Min. 4hr call out applies).

  • Additional venue time beyond the 9 hour access period is possible, subject to prior approval. If approved, a venue representative will be charged to you at $80 per hour.

VAULT

    We aim to be as flexible as possible and can hold tentative dates for up to 2 weeks, without payment. If an enquiry is received for the same date by another party, you will have first preference to secure the date by signing your contract and paying associated fees within 48hrs.

  • On the day of your event, You have up to 6 hours total venue access, inclusive of bump in, live event and bump out. It is up to you how to distribute those hours to best suit your event needs.

  • Whether your event is Free, ticketed or guest-listed, is up to you.

    You get to keep 100% of all income made from ticket sales.

    It’s your responsibility to manage the ticketing platform, comms and any charges associated with ticket sales and refunds.

  • Vault comes equipped with a Void Accoustics Sound System for Music event sand Parties, a well as a surround-sound SONOS setup for when background music is necessary.

    Our in-house DJ equipment is:
    - 1.8m wide megadeck
    - 2x CDJ 3000
    - 1x DJM-A9 Miwer

    Amber spotlights are the standard lighting package for Vault, this provided a warm ambience throughout the space. Programable Coloured lights and an LED Booth are also available, and quoted uppon request.

    You are welcome to use your own lighting and sound if desired, based on prior approval.

    - Vault retains 20% of bar proceeds using the Square POS system.

    - Following the event you can invoice Vault for 80% of bar revenue, less terminal charges.

  • Vault has a selection of lounges, booths, high tables and stools. These are available as part of the venue hire at no extra cost.

    We do not have an on-site inventory of dining chairs or tables. These or any other additional items are to be obtained from a third party supplier. We can connect you with our preferred suppliers or you may source your own.

  • A post-event cleaning fee of $245 is required for weeknights, and $300 for Saturdays.

  • When vehicle access is necessary for bump in or bump out, a traffic controller is mandatory. Charged at $70 per hour. (Min. 4hr call out applies).

  • Additional venue time beyond the 9-hour access period is possible, subject to prior approval.

    If approved, a venue representative will be charged at $80 per hour.
